At Maclay Murray & Spens LLP (“MMS”) we are committed to protecting the privacy of our clients, website visitors, digital service users and potential employees and interns. 1. Why we require your information

MMS collect personally identifiable information when you register with us and when you use our services. You do not need to provide us with personal data simply to browse our site except on sections of the site we have asked you to register with us. MMS use this information in order to customise the content you see on our pages, to fulfil your request for certain information and services, to communicate with you generally and to contact you about new services, updates, events and where appropriate, job opportunities and career information.

2. What information do we collect?

Registration

Some areas of our web site require you to be registered with us prior to certain information or services being made available. We use this information to provide you with the service or information you have requested or to answer your queries. In some cases, we may request optional information from you on our registration forms for example on your business and business interests. If we request this additional information from you we will identify it as optional.

Updates

Users of our website can register for e-mail newsletters and news updates/invites. This service is entirely optional and you may unsubscribe at any time by contacting marketing@mms.co.uk.

Surveys

From time to time we may offer users the option of participating in surveys. Participation is entirely optional. Any specific information you provide during the course of a survey is kept confidential and used by us in order to conduct research or improve our services. We will only publish aggregated results.

Careers

You can register for job opportunities and career information updates. We will collect from you personal information based on the role for which you are applying and the current stage of your career, which may include but is not limited to your name, gender, personal contact details, work experience and educational history. We will also collect from you any other information you provide to us (whether or not in your CV and/or application form).

MMS use the information provided, where appropriate, to: notify you of available job opportunities; notify you of recruitment events organised by MMS, or third party recruitment events which MMS are attending; and remind you of job application deadlines.

Careers - Traineeships

If you are considering applying for legal traineeship at MMS, in addition to the above information, we may also collect personal information in respect of: (i) your current stage of study; (ii) your graduation year; (ii) your achieved and anticipated academic grades; (iv) the year you anticipate commencing a traineeship; (v) whether you would be interested in a summer internship; (vi) the areas of law in which you are interested; (vii) your preferred location for a traineeship; and (viii) your likely career location.

If you are considering applying for a legal traineeship or internship, in addition to the uses noted above, MMS may also use the information provided to notify you of traineeship and internship application opening and closing dates.

In the normal course of our business we may check some of the information you provide to us against third party databases to confirm that it is accurate.

Security

We use security safeguards to protect information from unauthorised access and misuse. We use the most accurate and current information you provide in order to process your request.

3. What information do we share?

There are times when we may need to share the information we learn from you with other parties. We do not sell or rent this information to others but will send personally identifiable information about you to other companies or people in the following situations:

Agents

MMS may share your information with professional advisors, strategic partners, survey and research organisations, recruitment agencies and other individuals and organisations we use to perform functions in certain situations on our behalf. Examples of these functions include providing marketing assistance by data analysis, following up on enquiries (including by phone, e-mail, post or fax) and processing data for recruitment purposes. These agents have access to the personal information required in order to perform their functions but may not use it for any other purpose.

Compliance with law

We will release personal information where we are required to do so by law or by any regulations and other rules (including professional and auditing requirements) to which we are subject.

Suppliers

MMS may use external suppliers to provide services and tools to assist us in collating and organising the personal information you provide us with. In these circumstances, the supplier will have access to the personal information you provide in order to perform their services but may not use it for any other purpose.

Consent

Other than in the above situations you will receive notice from us when your personal information might go to third parties and you will have the opportunity to decide not to share that information.

4. Access to your information

You have the right to access information held about you. Your right of access can be exercised in accordance with the Data Protection Act 1998. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

5. Changes to Privacy Policy

We may edit this policy from time to time. If we make any substantial changes we will notify you by posting a prominent announcement on our web pages.
