The firm operates from offices in Aberdeen, Edinburgh, Glasgow and London.

An opportunity has arisen for a Facilities Assistant to join the Facilities team in our Glasgow office. This is a permanent role and the hours of work will be 10:00 to 18:00 Monday to Friday inclusive.

The Facilities team provide a range of services to the Firm including a mailroom, print room, records management, reception, switchboard and catering service. They are also responsible for managing the office buildings, managing third party contractors and ensuring that a professional and comfortable office environment is maintained.

The key purpose of this role is to provide and develop a high standard of service to internal and external candidates through the effective day to day running of the office. This is a generalist Facilities Assistant role and the key duties will include:

  • To ensure the safe and timely distribution of all internal and external mail
  • Setting up boardrooms for internal and external meetings/seminars ensuring equipment is in place and in good working order
  • Setting up conference phones
  • Printing and binding documentation to a professional standard
  • Keeping printers stocked up with paper and toner at all times
  • Assisting with office moves
  • Collecting and processing Iron Mountain boxes from departments including retrieving and delivering files from storage
  • Dealing with any faults/problems with office equipment in order to ensure the smooth running of the office
  • To provide and develop a high levels of service to internal clients whilst minimising disruption at times of implementation, change or maintenance
  • To assist and ensure the effective day to day running of the office
  • Deal with Contractors on a daily basis
  • Deal with stationery requests
  • Ensuring that the office space is kept clean, comfortable and professional at all times

 

Applicants must have previous experience in a professional office environment. Experience in Facilities is desirable but not essential.

Candidates must have a proactive ‘can-do’ approach to their work, have first class organisational skills and be confident and capable of making decisions in the absence of their line manager. Candidates will also possess excellent communication skills as well as have the ability to respond quickly and effectively to our internal and external clients' needs. Candidates must be confident in dealing with people of all levels within the business.
